Duties & Responsibilities Job Purpose
The Admin and Operational Manager is responsible for delivering efficient operational, administrative, and customer support to ensure the smooth day-to-day running of RentMed’s medical equipment business. This role fulfills a critical operational management function, coordinating equipment scheduling, supporting customer service, overseeing medical aid billing, and managing asset tracking. The position requires strong management skills with a clear focus on operational effectiveness and service excellence.
Key Responsibilities
1. Customer & Medical Aid Billing Administration
Medical aid billing for services rendered (daily / weekly / monthly) Processing of quotes and invoices for private clients and medical aid schemes Follow-up on outstanding accounts, queries, statements, and remittances Updating customer receipts daily Rental contract administration Maintaining electronic and manual filing systems in line with company procedures
2. Daily Operational Management
Ensure operational effectiveness through excellent management and communication between Management, Agents, Customers, and Suppliers Apply strong problem-solving skills in a critical service environment Maintain a high standard of customer service while applying sound commercial business acumen Adopt a practical mindset toward service delivery Compile reports, schedules, and operational summaries Manage and supervise junior personnel
3. Equipment Management & Asset Coordination
Manage and track the daily movement of equipment Liaise with installers to ensure equipment maintenance Manage equipment availability per installer location Assist with procurement to ensure maximum equipment availability across multiple locations (including two international locations) Take responsibility for the six-monthly stock take
4. Office & General Administration
Professionally answer and direct telephone calls Manage incoming emails Perform general office administration duties
5. IT Responsibilities
Ensure all company mobile phones are online daily Understand and manage automated customer liaison systems Maintain personal customer liaison in critical care environments
6. Compliance & Professional Standards
Adhere to company policies, procedures, and service standards Handle all customer information confidentially Maintain a professional and compassionate approach when dealing with patients, families, and healthcare providers
7. Marketing Support
Practical knowledge of Meta/Facebook Ads and campaign setup (content provided by the Marketing Department) Target appropriate audiences effectively Assist with ad optimisation and performance improvements Report on weekly and monthly ad performance Liaise proactively with Management regarding advertising strategy and placement Take pride in the company’s social media presence Follow Management’s advertising guidelines and instructions
Desired Experience & Qualification Skills & Qualifications
Matric Relevant diploma in Accounting and/or Business Administration (Advantageous) 3–7 years’ experience in a similar role Strong organisational, management, and communication skills Medical Aid Scheme billing experience (Advantageous) Proficient in Microsoft Office (Excel, Outlook, Word) Practical experience with Meta/Facebook Ads Strong understanding of targeting and optimisation across Facebook, Instagram, and LinkedIn Ability to prioritise tasks and handle multiple responsibilities with minimal supervision Professional attitude with strict confidentiality standards
