Introduction To administer and monitor the entire contracts portfolio of the operation to ensure accurate cost control, compliance with contractual obligations, and effective management of contractor performance. The Contracts Administrator will support the engineering and projects portfolio by tracking project expenditure, managing payment processes, and ensuring contractor costs and productivity align with agreed contractual terms. Duties & Responsibilities TASKS AND RESPONSIBILITIES Contract Administration and ComplianceAdminister engineering and project-related contracts in accordance with contractual terms, company policies, and regulatory requirements.Monitor contractor performance against contractual obligations, including KPIs and SLAs, and escalate non-compliance where necessary. Maintain accurate contract documentation, including amendments, variations, and supporting records.Cost Control and Budget ManagementRecord and track project costs against approved budgetsIdentify, investigate, and report cost variationsValidate & analyse contractor claims, productivity and invoices to ensure costs align with approved scopes of works and agreed contractual terms (rates; timelines; pricing etc.)Payments and Cash Flow ManagementPrepare payment schedules in line with project plans and commercial terms of contracts.Ensure accurate and timeous processing of contractor invoicesProvide project cash flow projections for consolidation into corporate cash flow forecastsInvestigate incomplete or delayed payments and resolve discrepancies with contractors or internal stakeholders.Contractor Performance and ReportingMonitor contractor progress and verify work completed prior to authorising payments.Investigate technical non-performance issues and liaise with project owners to resolve contractual mattersPrepare reports on contract performance, cost trends, and project financial statusKNOWLEDGE AND SKILLS AND OTHER COMPETENCIES - Strong understanding of contract management principles and commercial terms. - Knowledge of KPI and SLA frameworks and contractor performance monitoring. - Ability to validate cost of work and analyse contractor productivity rates. - Experience auditing contractor pricing and managing cost variations. - Strong financial and analytical skills. - High attention to detail and strong administrative capability - Proficiency in Microsoft Office and project cost tracking systems - Strong communication and stakeholder management skills - Basic understandig of Contractual Law and its application. Post graduate qualifiction with contractual law will be advantageous. 2– 6 years’ relevant experience in contracts administration, project cost control, or commercial management within a mining, engineering, or construction environment.
