Introduction Our Client is seeking a organised, detail-oriented and commercially minded individuals to join its internal operations team. The successful candidates will support the administration and coordination of customer RFQs, quotations, orders, supplier purchase orders, shipments, deliveries, returns and credits. The role requires strong communication, accurate data capture, effective follow-up and the ability to manage multiple transactions within strict contractual and service-level deadlines. Depending on operational requirements and the candidate’s experience, the position may focus on one or more of the following areas:
RFQ and quotation coordination
Customer order and purchase-order processing
Shipment and delivery coordination
Returns, exchanges and credit administration
Customer and supplier support
Duties & Responsibilities Key Responsibilities
Receive, review and capture customer RFQs on the Portal.
Interpret vehicle and automotive parts requirements accurately.
Request pricing and availability from relevant vendors.
Compile and submit customer quotations within required turnaround times.
Capture customer orders and verify pricing, quantities and part numbers.
Create and maintain relevant sales order and purchase-order information.
Coordinate with vendors regarding stock availability, dispatch and delivery.
Monitor open orders, partial shipments, backorders and delivery deadlines.
Capture courier, waybill and estimated delivery information.
Maintain complete and accurate supporting documentation.
Follow up on outstanding quotations, orders, deliveries and customer queries.
Assist with returns, exchanges, replacements and credit requests where required.
Update transaction statuses accurately within the CRM.
Escalate delays, discrepancies and service-level risks to management.
Maintain professional communication with customers, vendors and internal departments.
Support daily, weekly and monthly operational reporting.
Desired Experience & Qualification Grade 12 / Matric.
Previous experience in internal sales, customer service, order processing, procurement administration or operational coordination.
Strong computer literacy, including Microsoft Office.
Experience using CRM, ERP or inventory-management systems will be advantageous.
Strong written and verbal communication skills.
High level of accuracy and attention to detail.
Ability to work under pressure and manage strict deadlines.
Automotive parts knowledge and previous experience within the automotive aftermarket, dealership, parts-distribution or fleet environment will be highly favourable.
Ability to interpret OEM and aftermarket part numbers.
Understanding of vehicle makes, models, VIN information and component descriptions.
Experience dealing with suppliers, dealerships, workshops or government fleet customers.
Microsoft Dynamics 365 experience will be advantageous.
